A small part of a wedding day time line

Time lines are one of the most important things we do as wedding planners. They direct how the weekend of the wedding will be timed and executed. Most people think that “No big deal, the wedding starts at five and then everything else follows”. So not true.

Here at the French Bee we design timelines to make a weddings ebb and flow. We have discovered to make sure guest have the optimum experience, things, big or small need to change every fifteen minutes. It can be something as small as a different appetizer coming out of the kitchen or the lighting being subtly changed.

So with that in mind we begin our famous timelines.

Timelines should begin when anything dealing with the wedding begins. If the tent is being put up on Thursday, then the timeline should say so. We make sure to get a window of time from every vendor that is involved along with all their contact information and record that onto the time line. We have someone on site that if that vendor is not there in their time window, who will track the vendor down and find out where they are and when they should be expected. Each vendor will receives a copy of the timeline with their specific parts highlighted. The band will know what time introductions are to be made, the cater will know what time to stop passing appetizers and start to open stations. Each vendor should know the script and know when and how their part is to be acted out. Keeping in mind while we are making all these schedules to continue to keep it interesting for the guest.

Timelines are the secret script that can make a wedding successful or not. Have you ever been a guest where the wedding party is gone is seems like for hours having their pictures made and everyone is standing around and it feels very awkward? Or everyone is having a great time and the band is sounding really great and everything stops so that everyone can go see the cake being cut and then it is very difficult to achieve that level of energy again. That does not happen at a French Bee wedding. We make sure that in our timeline the guest are always enjoying the best experiences possible.

Also as wedding planners who know when we need to go off script as well. Sometimes even as well planned as things are, things go off kilter. A good wedding planner will see that this is happening and know how to que the other vendors to make a snap change and hopefully no one will be the wiser.
